PAYMENT, REFUND & CANCELLATION POLICY — PranaCare Ltd

1. Purpose of This Policy

This Payment, Refund & Cancellation Policy outlines how payments are processed, how cancellations are handled, and under what conditions refunds may be issued for services provided by PranaCare Ltd.
This policy applies to:
  • Counselling
  • Coaching
  • Organizational conflict consulting
  • Mediation‑informed support
  • Leadership advisory
  • Workshops & training
  • Digital programs and resources
By booking or purchasing any service, you agree to the terms below.

2. Payment Terms

2.1 Payment Due at Time of Booking

Payment is required at the time of booking unless otherwise arranged for organizational clients.

2.2 Accepted Payment Methods

  • Credit card
  • Debit
  • E‑transfer
  • Organizational invoicing (approved clients only)

2.3 Invoicing for Organizations

Organizational clients may request invoicing with:
  • Net‑15 or Net‑30 terms
  • Pre‑approved purchase orders
  • Signed consulting agreements
Late invoices may result in suspension of services.

3. Cancellation Policy

3.1 Counselling, Coaching & Individual Services

  • 24 hours’ notice is required to cancel or reschedule.
  • Cancellations made with less than 48 hours’ notice may be billed in full.
  • Missed appointments (“no‑shows”) are billed in full.

3.2 Organizational Consulting

  • Cancellations require 72 hours’ notice.
  • Half‑day and full‑day bookings cancelled with less than 72 hours’ notice may be billed at 50% of the fee.
  • Same‑day cancellations may be billed in full.

3.3 Workshops, Training & Speaking Engagements

  • Require 7 days’ notice for cancellation.
  • Cancellations within 7 days may be billed at 50%.
  • Cancellations within 48 hours may be billed in full.

3.4 Emergencies

We understand emergencies happen. Exceptions may be made at our discretion.

4. Refund Policy

4.1 Counselling, Coaching & Consulting Sessions

Refunds are not provided for completed sessions.
Refunds are not provided for missed or late‑cancelled sessions.

4.2 Packages (6‑Session or 8‑Session Programs)

Packages are non‑refundable once the first session has been completed.
Unused sessions may be:
  • Rescheduled
  • Transferred to another service (at our discretion)
  • Credited for future use (valid for 6 months)

4.3 Organizational Consulting Contracts

Refunds are not provided for:
  • Completed consulting hours
  • Completed assessments
  • Completed reports or recommendations
  • Work already initiated or delivered
Deposits for organizational contracts are non‑refundable.

4.4 Digital Products & Programs

All digital products are final sale.
No refunds are provided for:
  • Courses
  • PDFs
  • Workbooks
  • Recorded content
  • Online programs
Access is provided under a non‑transferable license.

4.5 Workshops & Training

Refunds are not provided once materials have been delivered or preparation has begun.

5. Rescheduling Policy

5.1 Counselling & Coaching

Sessions may be rescheduled with 48 hours’ notice.

5.2 Organizational Clients

Sessions may be rescheduled with 72 hours’ notice.

5.3 Limits

Repeated rescheduling may result in:
  • Prepayment requirements
  • Suspension of services
  • Contract review

6. Late Payments

6.1 Individuals

Late payments may result in:
  • Suspension of future bookings
  • Requirement for prepayment
  • Administrative fees (if applicable)

6.2 Organizations

Late invoices may incur:
  • Administrative fees
  • Interest charges (1.5% per month)
  • Suspension of services
  • Contract termination

7. Service Refusal or Termination

PranaCare Ltd reserves the right to refuse or discontinue services if:
  • Boundaries are violated
  • Safety concerns arise
  • Payment issues occur
  • Terms are breached
  • Communication becomes inappropriate or unsafe
Clients may also discontinue services at any time.
Refunds are not provided for discontinued services.

We may update this Payment & Refund Policy periodically. The most current version will always be available on our website.
